Job Summary:
Provide strong administrative support the HR team. The primary duty is to manage multiple areas of data that pertain to the organization’s team members, including but not limited to being involved in the benefits, recruiting, onboarding, payroll, and other areas to support to the company and team members.
Essential Job Functions:
Key Function: Administration
Maintains team member information in HR platform, databases, and personnel files
Completes written and verbal employment verifications
Manages all HR related Inbox inquiries and requests
Manages the dissemination of company required policies and procedures and other pertinent information, as needed
Coordinates training and meetings through zoom calls and other platforms
Assists with performance management by tracking performance evaluations in a timely manner
Maintains and updates job descriptions
Assist with company related events
Provide information on unemployment claims
Termination letters
Key Function: Benefits Administration
Assists with benefit plan enrollments and terminations, COBRA, etc.
Provides team member information as it pertains to disability claims
Answers team member questions about coverage; communicating eligibility, coverage and other benefit matters
Distributes mandatory plan documents and notices in accordance with the DOL and IRS
Benefit reconciliations and vendor payments
Assist with reports and cleaning up errors as needed
Key Function: Leave Management
Work with leave vendor to provide necessary information
May prepare written responses to team members regarding leave
Communicates with team members about required documents
Communicate with managers and supervisors as necessary
Gather information for Personal Leave Requests
Entering leave information in the HRIS system
Key Function: Recruitment
Assist recruiters, talent acquisition teams, with various tasks
Provide support with job fairs and hiring events
Key Function: Payroll
Assists with the payroll process by providing and updating relevant team member information
Ensure LOA’s are accounted for as it pertains to PTO requests
Key Function: Compliance
Assists with compiling information for various surveys BLS surveys
Assists with internet research on current employment law with multistate sites including California
Work with HRIS team to create required reports
Ensures compliance with posters by working close with vendor
Assist with workers’ compensation
Desired Qualifications:
Exceptional oral and written communication skills. Ability to communicate vertically and laterally within the organization at all levels. Interacts with leaders in the firm and community in a professional and effective manner. Outstanding interpersonal skills.
Must have previous administrative assistant experience supporting positions within an HR Team
Understands HR terminology; knowledge of standard policies and procedures
Has ability and knowledge to help support the planning of HR programs with demonstrated research and analytical skills in HR best practices/trends and effectively present findings
High attention to detail
Extremely organized with time/priority management skills. Ability to multi-task and work independently
Strong technology skills - proficient with HRIS (Workday strongly preferred) and Microsoft Office suite. Assist with researching information with guidance, prepare dynamic and leading-edge presentations.
Ability to deal with constant interruptions
Ability to follow specific instructions in gathering facts and data
Ability to use sound judgment when appraising situations and when making routine decisions
Must have a “Can Do” attitude with a sense of urgency to complete job duties, assignments and tasks
Ability to operate office equipment such as personal computers, video conferencing equipment, calculators, fax and copiers
Education and Experience Requirements:
High School education, Certification, or degree in HR related field
Five or more years in a fast-paced HR support role
Workday experience strongly preferred
